Our Member Roster Maintenance

Our  Member Roster Maintenance service makes it is easy to keep track of your members and the order that they will be displayed on your composite.

A Roster is simply a complete membership listing. At Digital Pix, we need a Roster to create your composite and determine the arrangement order. Every year, during your photo session, your members enter their data into our computer data entry terminal, therefore adding and updating information on the Roster. The following information is gathered during your photo session:

•          Name as your members want it to appear on your composite

•          Year In School

•          Pledge Year and Semester (Greek Sororities and Fraternities only)

•          Permanent Home Address

•          Email Address

•          Parents’/Alternate Email Address (for summer contact, where applicable)

•          Since we don’t send out portraits on speculation, we ask for your parents addresses to offer them an opportunity online to view your portraits for purchase. 

Digital Pix begins by compiling the verified data collected in prior years with new and updated information provided by your members and your picture chairperson on the day of photography. We make it easy to add and update your data electronically, either on your own computer, or on ours on the day of your photo session. Your Personal Account Representative will evaluate your combined data and alert you if any information is missing or needs clarification. We then record your changes or corrections on the master roster and keep it safely on file, at no charge to you! Just ask and we will make a copy available to you. This is great way to pass information on from year to year to new officers. 

Take advantage of our FREE Roster Maintenance service! At the beginning of the season, we can provide you with last year’s roster in electronic form; either using a comma delimited or excel spreadsheet format. It’s simple to add new members or pledges, and to update any information that has changed over the summer. And we’ve just made a tedious chore easy for you and saved you a lot of time.

While we use this roster information to construct your composite, there is no reason why you cannot use the same database for your organization’s own purposes. Digital Pix is happy to share your completed Roster, with our compliments. Using your master roster from Digital Pix can save you work, and time, and it makes a lot of sense. It’s easy to generate mailing labels, name tags, and do mail merges, etc. using this electronic file. Just ask us how.
